An application represents a request to hire one or more new positions.The position may arise for a variety of reasons, such as replacements, staffing increases or temporary work peaks. The person in charge of the application provides key information, such as the title of the position, the professional area and the necessary requirements. This information is essential to start the recruitment process and find the most suitable candidates..

How to create a vacancy application
1️⃣ To create a vacancy request, go to the menu Requests
2️⃣ Then click on Create request.
3️⃣ Complete all the fields in the form.which is divided into three sections: general data, attachments and recommended candidates. Below, we detail the contents of each section:
At General dataYou must fill in all the corresponding fields, such as the name of the position, reference, number of positions, location, etc. Please note that the mandatory fields are: position, area, number of positions y reason.

At Attachments you have the option to upload a file related to the request. Please note that each file must have a maximum size of 10 MB.

At Recommended candidates you can directly recommend a candidate by entering their name and phone number. This allows you to suggest a specific candidate for the application in question. |
4️⃣ Once you have filled in the fields of the application, you can save it by clicking on Create o save it as a draft if it is not yet complete.
Applications can have the following statuses: draft, pending approval, approved, denied, assigned, in process, completed, filed, archived o canceled.
Application approval flow
When a request is created, an approval flow is assigned to it that determines who is responsible for accepting or rejecting the application. The account administrator user can configure two types of approval flows:
- Group flow: multiple people can be added to accept the application, and if one person accepts the application, it is considered approved.
- Hierarchical flow: several people can be added to accept the request, but each one has priority over the lower hierarchical levels.

How to manage the application
Once the application is approved, it can be associated with a vacancy and assigned to a manager.
When the offer is associated with the request, the manager can send applicants to the application from the applicant's file following these steps:
1️⃣ Go to the candidate's file and click on the button "" to advance to the next step, display the list of options.
2️⃣ Under Submit applicant applicationSelect the specific application to which you want to send the candidate.
By following these steps, the manager will allow the applicant to review the information of the submitted candidate(s) and perform the corresponding actions.such as reviewing resumes, scheduling interviews, evaluating interviews, sending hires or discarding.
Frequently Asked Questions
If I change a candidate's stage (either to "hired" or "discarded") within the application, will this also be automatically reflected in the corresponding vacancy?
No, the change of a candidate's stage within the application will not be automatically reflected in the vacancy.. Each of these processes are independent and have their own function. The application focuses on tracking the candidate within the recruitment process, while the vacancy represents the open position in the company.
The purpose of separating these processes is to better organize procurement management.
How can I review the candidates sent to an application?
To review the candidates submitted for an application, access the desired application. Within it, you will find the section Finalists: where you can see the list of submitted candidates. Click on each candidate to access their detailed information. From the candidate's file, you have the option to schedule an interview, move the candidate to another stage of the process, such as contracted o Discardedand carry out the corresponding actions according to the progress of the selection process.
